Role Overview and Daily Impact As the Remote Billing Coordinator, you’ll be in charge of the end-to-end billing cycle. That includes sending invoices, handling questions about charges, tracking payments, and updating financial systems. Your work ensures the company gets paid for the services it provides—and that clients get the answers they need quickly and clearly. You'll work on a consistent set of tasks, but each day may bring new challenges. You might troubleshoot a payment discrepancy, assist with reporting, or coordinate invoice approvals across departments. Your role is crucial to maintaining our smooth operations and keeping our finances organized. Key Responsibilities Issue accurate invoices aligned with contracts and project timelines Monitor overdue accounts and communicate with clients to follow up Keep billing records and account details updated in the billing platforms Work with customer success managers to address billing questions Handle credits, refunds, and adjustments as needed Assist with the month-end closing by reconciling billing data Document billing workflows for process improvement and audit readiness Partner with the finance and operations departments to improve workflow efficiency Working Environment and Collaboration Style This is a fully remote role. You'll work from your own space but be in regular contact with your team through communication tools like Slack and Zoom. You’ll also use project management software to stay aligned with company priorities. The team values proactive communication, shared accountability, and mutual respect. You’ll have flexibility in your workday, but expectations are clear and support is always available. Technology and Tools Software and Platforms Used Your daily tools may include: QuickBooks Online, FreshBooks, or other cloud-based invoicing software Excel or Google Sheets for organizing and analyzing data CRM tools such as HubSpot or Salesforce Communication tools, including Slack, Zoom, and Gmail Asana or Trello for organizing tasks and tracking progress Required Qualifications and Skills We’re looking for someone who combines technical know-how with a strong work ethic. Requirements include: 1–3 years in billing, accounts receivable, or financial admin roles Experience using billing software and spreadsheet applications Solid understanding of invoicing best practices Effective written and verbal communication Ability to work independently, manage deadlines, and prioritize tasks A detail-oriented mindset with an eye for accuracy An associate’s or bachelor’s degree in accounting, business, or a similar field is preferred Indicators of Success in This Role You’ll be successful if you consistently send invoices on time, follow up with clients politely but firmly, and resolve any billing concerns without confusion.
